Responsible in preparing secretarial and administrative office tasks such as typing, filing, documents formatting, document control, producing flyers, Dictaphone transcription, screening telephone calls, appointments, liaising with clients, minutes taking, composing letters / emails.
Involvement in preparation of tender document and proposal. Responsibilities and tasks undertaken are as following:
Assist Project Manager in preparing Cost Time Resources (CTRs), letters and compiling the Invitation to Bid (ITB) documents for submission.
Set up document management and archiving system for current and past project document using relevant software.
Controlling the flow of each documents, drawings, correspondence, etc either from internal or external parties.
Able to work independently, a team player and possess good interpersonal skill.
Maintaining Engineering Documents & Documenting of all drawings and documents relating to project
Transmitting Project Documents/ Correspondence between Client /Sub Contractors
Handle all incoming and outgoing documents and mail
Maintaining integrated Quality Document Management systems (QDMS) and computerized filing
Experience in reviewing reference documents, arrangements, specifications, standards, various reports and codes of practice and converting such documents to scanned images and storing them in Network / CD-ROM and preparing an index for easy retrieval.
